For TLG members flying to attend meetings, ACSA will reimburse the cost of the following travel expenses (with receipts as appropriate):
- mileage to/from the airport
- economy airfare
- shuttle (preferred) or taxicab to/from airport
ACSA will reimburse flights at the rate for Southwest Airlines fares purchased 14 or more days in advance of scheduled meetings. ACSA will not reimburse Business Select fares.
Flight Arrangements
ACSA asks that TLG members fly only if it is the least expensive way to travel. ACSA also requests that members make flight arrangements such that they are able to attend the entire TLG meeting. That is, flights should arrive no later than approximately 8:30 a.m. and depart no earlier than approximately 4:30 p.m.
In order to make flight reservations in as cost saving and cost effective a manner as possible, TLG members are asked to make their reservations as far in advance as possible. It is more cost effective to book reservations early and cancel in the case of an emergency than to book reservations at the last minute and pay a premium price. Therefore, TLG members are asked to book their flights one month or more in advance of each meeting. TLG members are asked to book flights no later than 14 days in advance of the meeting.
TLG members are asked to book discounted fares available online. Reservations may be made directly:
- with carriers such as Southwest (http://www.southwest.com/), jetBlue (http://www.jetblue.com/), America West/US Airways (www.usairways.com/awa), United (http://www.united.com/), etc.
- or through discounted travel services such as CheapTickets (http://www.cheaptickets.com/), Expedia (http://www.expedia.com/), Hotwire.com (http://www.hotwire.com/), Kayak (http://www.kayak.com/), Lowestfare.com (http://lowestfare.com/), Orbitz (http://www.orbitz.com/), SideStep (http://www.sidestep.com/), Travelocity (http://www.travelocity.com/), TravelZoo (http://www.travelzoo.com/), etc.
It is recommended that you check your local airport for updated travel information. The Web sites for several major airports are:
Direct Billing for Air Travel
TLG members may make flight (but not lodging or car rental) reservations through American Express One. A hard copy of the Travel Profile is available in the 2009-2010 ACSA Leadership Manual. Interested members may request an electronic copy of the Travel Profile from Marianne Domingo. Upon completion, members must also fax or e-mail a copy of their completed Travel Profile to ACSA Accounts Payable at (650) 259-1029 or Becky Hall at bhall@acsa.org. Once the Travel Profile has been completed and submitted (to American Express One and ACSA), members can begin using RezExpress.
To use RezExpress, members simply call the toll free number at (888) 543-5946 to make their reservations. Members need to explain that travel is on behalf of the Association of California School Administrators and provide RezExpress with the program code 747 for the Technology Leadership Group Meeting. Airline tickets will be sent directly to members and ACSA will be billed directly for the airfare.
Shuttle or Taxi Service
Super Shuttle is available from the Sacramento airport. Reservations may be made ahead of time or upon arrival at the airport at the Ground Transportation Desk located in the main terminal by the baggage claim area. The fare is $14 per passenger one way. Super Shuttle will drop-off and pick-up in front of the ACSA Sacramento office.
While Super Shuttle is encouraged as the preferred method of transportation from the airport, TLG members may take a taxicab from the airport to the Sacramento ACSA office. The fare is approximately $25 one way. In order to use taxi service, at least two TLG members must share a taxicab to/from the airport for TLG meetings.
